01 Why you need it

Four places your margin quietly leaks.

Each one is closed by the system — not by another spreadsheet.

Before Stock lives in a spreadsheet nobody trusts

After Stock levels, reorder points and dish costs calculated for you, per branch.

Before Suppliers bill for more than they delivered

After Every invoice checked against the order and the delivery before it is paid.

Before Anyone can order, receive and pay

After Nothing is bought, received or paid without the right approval.

Before The books never match the shelves

After Stock in the books always equals stock on the shelf — checked every night.

One flow, from low stock to a paid supplier

Every step hands off to the next on its own.

  1. 01 Low stock
  2. 02 Requisition
  3. 03 Approval
  4. 04 Purchase order
  5. 05 Delivery

02 How it works

Four systems. Zero leaks.

  1. 01 Replenishment

    Automated Replenishment & Requisitions

Reorder points are recalculated every night from what each branch actually used, plus supplier lead times and your safety days. Anything running low becomes a purchase requisition before the morning shift — no spreadsheets, no guesswork.

    • Reorder points and max levels from real usage, per branch
    • Nightly requisitions for every item at or below its reorder point
    • One purchase order per supplier, at their agreed price
    • Approved orders emailed to the supplier as a PDF, automatically
Stock levels with reorder points, and a requisition raised overnight
  2. 02 Accounts payable

3-Way Invoice Matching & Dispute Management

Every supplier invoice is checked against what you ordered and what actually arrived. Bills that agree are approved for payment on their own; anything else waits in a disputes queue until someone decides it.

    • Quantity checked against goods received, price against the purchase order
    • Tolerances you set: quantity %, price % and a fixed amount for rounding
    • Accept a variance with a reason, reject the bill, or wait for a credit note
    • The same delivery can never be billed twice; due dates follow each supplier's terms
A supplier invoice matched against its purchase order and delivery
  3. 03 Financial controls

Strict Segregation of Duties & Approval Matrices

Decide who can approve what, and up to how much. The system then makes sure no single person can buy, receive, approve and pay on their own — and every decision is on the audit log.

    • Multi-level approval thresholds for requisitions and purchase orders
    • Whoever asks for a purchase never approves it
    • Whoever received the goods cannot approve the bill for them
    • Whoever prepares a payment cannot release it
The approval matrix in settings, and an approval trail on a purchase order
  4. 04 Accounting

    Real-time Double-Entry Restaurant Ledger

Your restaurant gets its own purchasing books, kept separate from everything else. Deliveries, invoices, payments, sales, wastage and stock counts all post automatically, so the value of your stock in the books always equals the value on the shelf.

    • Inventory, GR/IR clearing, accounts payable, input VAT, bank and cash
    • Cost of goods sold, wastage and count differences posted as they happen
    • Payment runs that settle supplier balances from your bank or cash
    • Trial balance with live drift checks, payables aging and goods awaiting invoices
